At the end of the month, you can initiate an accrual campaign to manage your period-end accruals efficiently. Accrual campaigns let your organization send multiple request estimates to either all or specific vendors and are designed to automatically reverse on a predetermined date.
NOTE: To successfully create and send an accrual campaign, you must have an admin_accrual or accrual_admin role. Also, an internal or external contact must exist who has an admin_accrual or accrual_admin role.
To create and send a new accrual campaign:
- Log in to Corpay Complete.
- Select the Accruals menu item from the left-side navigation pane.
NOTE: The visibility of pages and information in Corpay Complete is based on roles assigned to users by a company as well as company configuration. As a result, some pages and information may not be visible to you or may only be available in a view only format.
- Click the Campaigns tab.
- On the Campaigns page, click the Create Campaign drop-down and then choose from the following options:
- By Vendors: Select this option to create a campaign by vendors.
- By Purchase Orders: Select this option to create a campaign by purchase orders.
- By PO Items: Select this option to create a campaign by purchase order line items.
- Complete the following fields on the New Campaign page:
- Campaign Name: Enter the name of the campaign.
- Schedule Auto-Reverse Date: Enter the date when the campaign will automatically reverse.
- Service Period: Enter the service period start and end dates for the campaign.
- Campaign Close Date: Enter the date when the campaign will close.
- Notes to Contact: Enter notes for your vendor contact.
- Send accrual request upon creation: Select this checkbox to send the accrual request after clicking Submit.
- Send auto-reminders: Select this checkbox to send automatic reminders to your vendor contact.
- Send to Department Head/Vendor Account Manager for review: Select this checkbox to send the campaign to your department head(s) or vendor account manager for review. Next, choose the Send to Account Manager or Send to Department Heads radio button.
- Select the vendor(s), purchase order(s), or purchase order line item(s) to be included in the campaign.
- Click the Submit button to create the campaign.
