This guide shows how to create an automatic approval workflow for a user or team. Approval workflows make the procure-to-pay process easier by automating approval steps. Corpay Complete enables you to set up automatic approval workflows for:
- Purchase orders
- Payments
- Invoices
- Expense reports
- Payment runs
- Vendors
- Cards
- Credit Memos
- Purchases
- Purchase Order Change Requests
Note: Your access to pages and information in Corpay Complete depends on your role and company settings. Some content may be hidden or view-only.
- Log in to Corpay Complete.
- Select the Administration module from the left-side navigation pane.
- Ensure the Approval Settings tab is selected.
- Ensure the Approval Workflow tab is selected on the Approval Settings page.
- Select the workflow type from the Workflow Type drop-down. For example, choose Purchase Order. This process also applies to other workflow types.
- Click + Step in the Purchase Order pane.
- Enter a label for the approval workflow step in the Label field.
- Select Approval from the Designation drop-down.
- Select from these options in the Approver(s) drop-down:
- User: Select User to add a single user to this approval workflow step and then search for the user in the User field.
- Team: Select Team to add a team to the approval workflow step and search for the team(s) in the Team field. Indicate whether all or a certain number of team members must approve. Select the Parallel Team checkbox to send approval requests to two teams simultaneously. The workflow will proceed to the next step once both teams have approved.
- Select Active from the Status drop-down.
- Check Skip Duplicate Approvers to prevent duplicate approvers.
- Check Require Distinct Approvals to require distinct approvals from each user or team.
- Check Email Notification to send approvers an email about pending approvals.
- Check Email Reminder to send approvers an email reminder about pending approvals.
- Check Ignore Approval Limits to ignore user-level approval limits established by your company.
- Enter a description for the approval workflow step in the Description field.
- For each approval step that needs to be added to the approval workflow, repeat steps 6 through 16.
- Click Save.
- The approval workflow will be automatically applied to new items and displayed on the item Details page. The following example illustrates an approval workflow on the Purchase Order Details page.
