The Payments tab is where users can view, add, edit, and delete payments.
Note: The visibility of pages and information in Corpay Complete is based on roles and company configuration. As a result, some pages and information may not be visible to you or may only be available in a view-only format.
Header
The following table describes the available actions at the top of the Payments tab.
Item | Description |
A – Bulk Action | Click the Bulk Action drop-down to create or reset an approval workflow for multiple payments. Select the checkbox to the left of each payment and then choose Create/Reset Approval Workflow.

B – Quick Filters | Click the Quick Filters button to select from a list of pre-selected filters. |
C – + Add | Click the + Add button to add a new payment on the Add Payment dialog. |
D – Export Payments | To generate a Payment Listing report for all or some payments, click the Export Payments |
E – Import Payments | Click the Import Payments |
F – Toggle Filter | Click the Toggle Filter |
Payments Grid – Part One
This section describes the first half of the columns in the Payments grid.
Note: Visible columns depend on selections made in the Column Editor.
Item | Description |
A – Payment Number | The Payment Number column displays the number of the payment. Click the payment number to open the Payment Details page. |
B – Vendor | The Vendor column displays the vendor’s name. Click the vendor’s name to open the Vendor Details page. |
C – Date | The Date column displays the date when the payment was or will be scheduled for payment. |
D – Amount | The Amount column displays the payment amount. |
E – Balance | The Balance column displays the balance of associated credit memos, if any. |
F – Status | The Status column displays the status of the payment. |
G – Is Scheduled | The Is Scheduled column indicates whether a payment has been scheduled or not. |
H – Ref. Number | The Ref. Number column displays the reference number for the payment. |
I – Invoice Number | The Invoice Number column displays the invoice(s) that are tied to the payment. |
J – Invoice External ID | The Invoice External ID column shows the ID assigned by the customer's ERP for the related invoice. |
K – Payment Method Type | The Payment Method Type column displays the type of payment method that will be used for the payment. |
L – Settled Payment Method | The Settled Payment Method column displays the payment method was used to settle the payment. |
Payments Grid – Part Two
This section describes the second half of the columns in the Payments grid.
Note: Visible columns depend on selections made in the Column Editor.
Item | Description |
M – Check Number | The Check Number column displays the payment check number, if any. |
N – Payment Settlement Date | The Payment Settlement Date displays the date when the payment was settled. |
O – Estimated Delivery Date | The Estimated Delivery Date column provides an estimated date when the vendor should receive payment. Delivery dates are estimated due to potential system failures and varying USPS delivery schedules. |
P – Credit Memo | If credit memos are applied to a payment, the Credit Memo column displays the credit memo number(s). |
Q – Originating Account | The Originating Account column displays the account where the payment originated. |
R – Payment Trans. Date | The Payment Trans. Date column displays the transaction date for the payment. |
S – Final Approval Date | The Final Approval Date column displays the date when the payment or payment run was approved, depending on payment approval workflow settings. |
T – Funding Date | The Funding Date column displays the date when the payment was funded. |
U – Vendor ID | The Vendor ID column displays the customer-provided vendor ID if present. |
V – Vendor Location ID | The Vendor Location ID column displays the customer-provided vendor location ID if present. |
W – Vendor Address | The Vendor Address column displays the default address of the vendor’s location if present. |
X – Action |
The Action column contains the following action icons. The availability of icons depends on the payment’s status:
To inform users about the internal or vendor-facing message, enter their names in the Notify User(s) field. If no user is added to the Notify User(s) field, only users with Admin roles will receive a notification of a new message.
