NOTE: The visibility of fields in Corpay Complete is based on roles assigned to users by a company as well as company configuration. As a result, the fields in the following images may be different from the fields in your Create New Vendor dialog. Follow your company’s policies when entering information on the Create New Vendor dialog.
Vendor Details Page
The following table describes the fields on the Vendor Details page.
Field | Description |
Vendor Name |
The Vendor Name field contains the vendor’s name. NOTE: This field is required when creating a new vendor. |
Legal Name | The Legal Name field contains an optional legal name for the vendor. |
Vendor ID |
The Vendor ID field contains the vendor’s identification number. This field populates automatically but can be overwritten with any number. NOTE: This field is required when creating a new vendor. |
Master ID | The Master ID field contains the vendor’s master identification number in the Corpay Complete vendor database. |
Vendor Type | The Vendor Type drop-down contains the vendor type:

Status | The Status field contains the vendor status. This field defaults to New but may be changed by users with an Admin role. |
Phone | The Phone field contains the vendor’s telephone number. |
The Email field contains the vendor’s email address. | |
Website | The Website field contains the vendor’s website, if any. |
Address Type | The Address Type drop-down contains the vendor address type:

Attention | The Attention field contains an optional attention line for the vendor address. |
Address Label | The Address Label contains an optional label for the vendor address. |
Address 1 | The Address 1 field contains the vendor address street or post office box number. |
Country | The Country field contains the vendor address country. |
State | The State field contains the vendor address state or province. |
City | The City field contains the vendor address city. |
Zip Code | The Zip Code field contains the vendor address zip or postal code. |
Cancel |
Select the Cancel button to close the Create New Vendor dialog. NOTE: Selecting Cancel will cause you to lose all entered data. |
Next |
Select the Next button to move to the Additional Details page. NOTE: You must complete all required fields before the Next button is enabled. |
Additional Details Page
The following table describes the fields on the Additional Details page.
Field | Description |
Purchaser Account | The Purchaser Account field contains the vendor’s purchaser account. |
External ID | The External ID field contains the internal identification number from your company’s ERP system. |
Primary Subsidiary |
The Primary Subsidiary drop-down contains the primary subsidiary for the vendor. NOTE: This field is required when creating a new vendor. |
Additional Subsidiary | The Additional Subsidiary drop-down contains a secondary subsidiary for the vendor. |
Requestor/Account Manager | The Requestor/Account Manager drop-down contains the vendor’s requestor or account manager name. |
Receiver | The Receiver drop-down contains the name of the vendor’s receiver. |
Currency Code | The Currency Code drop-down contains the currency code(s) accepted by the vendor. |
Default Currency Code |
The Default Currency Code drop-down contains the vendor’s default currency code. This drop-down changes based on the value(s) selected from the Currency Code drop-down. |
Contract End Date | The Contract End Date field contains an optional contract end date for the vendor. |
Payment Term | The Payment Term drop-down contains the vendor’s payment term. |
EIN/Tax ID/VAT ID | The EIN/Tax ID/VAT ID field contains the vendor’s EIN, tax identification number, or value-added tax identification number (VAT ID). |
Back | Select the Back button to return to the Vendor Details page. |
Cancel |

Add Vendor Contact Page
The following table describes the fields on the Add Vendor Contact page.

First Name | The First Name field contains the vendor’s first name. |
Last Name | The Last Name field contains the vendor’s last name. |
Phone | The Phone field contains the vendor’s telephone number. |
The Email field contains the vendor’s email address. | |

Add Payment Method
The following table describes the fields on the Add Payment Method page.
Field | Description |
Payment Type | The Payment Type field indicates the payment type that will be used to pay the vendor. |
Status | The Status field contains the status of the payment type. Active means the payment type can be chosen when paying vendor invoices while Inactive means the payment type cannot be selected . |
Account Type | The Account Type drop-down contains the account type. |
Account Holder Name | The Account Holder Name contains the account holder’s name. |
Account Nick Name | The Account Nick Name field contains a nickname for the payment method. |
Delivery Method | The Delivery Method drop-down contains the delivery method for the payment. |
Account Number | The Account Number field contains the account number or card number. |
Confirm Account Number | The Confirm Account Number field contains the account number or card number again for confirmation. |
Bank Address Line | The Bank Address Line field contains the payment method mailing address. |
State | The State field contains the payment method state or province. |
City | The City field contains the payment method state or province. |
Zip Code/Postal Code | The Zip Code/Postal Code contains the payment method zip or postal code. |
Back | Select the Back button to return to the Add Vendor Contact page. |
Cancel |

Skip | Select the Skip button to add payment data later. |

Requested Documents |
The Requested Documents pane contains document icons that may be required by your company. Select a document icon in the Requested Documents pane to open the Document Requirement dialog. |
Uploaded Documents | The Uploaded Documents pane contains documents that were uploaded via the Upload Documents dialog. |
Other Documents |
The Other Documents pane contains additional documents that may be required by your company. Select a document icon in the Requested Documents pane to open the Upload Document dialog. |
Back | Select the Back button to return to the Add Payment Method page. |
Cancel |
Select the Cancel button to close the Create New Vendor dialog. NOTE: Selecting Cancel will cause you to lose all entered data. |

Document Requirement/Upload Document Dialog
To access the Document Requirement or Upload Document dialogs, select a document icon from the Requested Documents or Other Documents pane.
Upload Tab
On the Upload tab, use the drag and drop feature or click the Browse button to upload documents to Corpay Complete.
Template Tab
On the Template tab, select a template to download, complete the necessary details, and upload the completed document to the Uploads tab.
Forms Tab
On the Forms tab, select a file, complete the necessary information, and click the Submit button.
Final Review
The following table describes the fields and actions on the Final Review page.
Field | Description |
Vendor Details | Review the information in the Vendor Details pane. If changes are needed, select the Edit button, and then click the Next button to return to the Final Review page. |
Additional Details | Review the information in the Additional Details pane. If changes are needed, select the Edit button, and then click the Next button to return to the Final Review page. |
Add Vendor Contact | Review the information in the Add Vendor Contact pane. If changes are needed, select the Edit button, and then click the Next button to return to the Final Review page. |
Add Payment Method | Review the information in the Add Payment Method pane. If changes are needed, select the Edit button, and then click the Next button to return to the Final Review page. |
Documents Requested | Review the information in the Documents Requested pane. If changes are needed, select the Edit button, and then click the Next button to return to the Final Review page. |
Notes | Enter vendor notes or additional information in the Notes field. |
1099 Eligible? | Select the 1099 Eligible? checkbox if the vendor is eligible for a 1099. |
Paid Outside? | Select the Paid Outside? checkbox if the vendor will be paid externally from Corpay Complete. |
Has W-9? | Select the Has W-9? checkbox if the vendor has a W-9 tax form. |
Override EIN Check? | If the Override EIN Check? checkbox is selected, the system will not check if another vendor in the Corpay Complete database has the same EIN or tax ID after clicking the Submit button. When this checkbox is selected and a vendor with the same EIN or tax ID is located, the new vendor will be saved with the duplicate EIN. |
PO Not Required | Select the PO Not Required checkbox if purchase orders are not required for this vendor. |
Contact Address on PO | Select the Contact Address on PO checkbox if the vendor’s contact address should be listed on purchase orders. |
Do not push to ERP | Select the Do not push to ERP checkbox if this vendor should not be pushed to your enterprise resource planning (ERP) system. |
Portal Disabled | Select the Portal Disabled checkbox to disable Vendor Portal access for this vendor. |
Force Sync with ERP | Select the Force Sync with ERP checkbox to force a synchronization to your ERP. |
Cancel |
Select the Cancel button to close the Create New Vendor dialog. NOTE: Selecting Cancel will cause you to lose all entered data. |
Submit | Select Submit to save the vendor to Corpay Complete. |
