Contacts
Adding a New Contact:
Method 1: When you add a new vendor adding a contact from that view is required.
Method 2: In the Contact view click: Add Contact -> The system auto fills the ID with a numeric number (next in sequence) you can override with any number. Once all pertinent data has been completed hit “Submit”
Contact Association to a Vendor:
Method 1:
When you add a new vendor adding a contact is required and will default the type of contact.
Method 2:
If Contact Type = Company you can associate to a vendor but only 1 contact per vendor.
If Contact Type = Vendor you need to associate to a vendor you can have multiple vendor contacts associated to 1 vendor however a vendor contact cannot be associated to multiple vendors
Internal vs External Contacts:
There are two types of contacts 1) Vendor = external contact 2) Company = internal requestor .
Adding a Contact Role:
You must select a contact Role. In order to select a role you must open an existing contact by clicking on the contact ID number and then click “Add Role”
Vendor Contact Roles = Primary –receives all blasts both invoice and accrual. Accrual_request = Only accrual blasts Invoice_requests= only invoice blasts.
Company Contact Roles = Requestor or Approver
If the Contact was created through adding a "new vendor" the role is auto assigned.
Editing an Existing Contact:
Select the contact you want to edit -> Edit Contact – Update the pertinent information ->“Submit”
Contact Detail View:
you are able to see all associated Roles/Vendors/Messages/PO’s/Etc associated to that contact
